Record Group
A record group is the result of the HIEBus record linking system. The record group represents the set of patient records associated with a single human being.
Record Linking
One of the fundamental functions that HIEBus performs is providing a unified view for each real-world patient incorporating data from all the disparate data sources available for each patient. HIEBus includes a record linking system, very similar to an MPI, that determines which patient records are associated with the same physical person and constructs a record group that is used to represent the physical person.
The record linking algorithms depend on a robust set of demographics for optimal functioning. The following are the fields used by the record linking system. It is strongly recommended that they are all populated if the data is available to do so. It is also recommended that the sending system use standard HL7 codes where possible. A dictionary providing a mapping is required for nonstandard codes or where the codes are provided without the code system being declared.
HL7 Field | Description | Comment |
---|---|---|
PID-5
|
Patient Name
|
The legal name is used in the record linking system. HIEBus will use the name in PID 5 with PID 5.7 (Name Type Code) = “L” if that is available. If only a single name is provided and PID 5.7 is blank, HIEBus will assume it is the legal name. If multiple names are provided and all of them have PID 5.7 blank, HIEBus will designate the first repetition as the legal name. If nonstandard name type codes are used, then they will need to be mapped to a canonical legal name type term in order to be used in record linking. |
PID-7 | Date/Time of Birth | |
PID-8 | Administrative Sex | If nonstandard codes are used, they will need to be mapped to standard gender codes. |
PID-10 | Race | Race code coding system or dictionary will need to be provided to CareEvolution in order to map the race codes for use in record linking. |
PID-11
|
Patient Address
|
The home address is used for record linking. A standard HL7 type code of “H” in PID 11.7 (Address Type) will be used as the patient’s home address. If a single address with a blank type (PID 11.7) is provided, HIEBus will assume it is the home address. If different address type codes are used, CareEvolution will need to be provided a dictionary such that the home address can be identified. |
PID-13 | Phone Number - Home | |
PID-19 | Social Security Number |
